The 7:12 a.m. problem
Most hotels still run housekeeping on radios, WhatsApp groups, and a whiteboard that was accurate twenty minutes ago.
What the guest experiences
A late room. A long smile. A review you cannot unsend.
RoomFlow does not replace your PMS. It replaces the chaos between systems: the live work of making rooms ready.
The product
Built for phones on the cart and screens at the desk. Not a 40-module enterprise suite. Status, tasks, inspection, guest requests, and maintenance — with rules so “ready” cannot be faked.
Every floor, color-coded, always current. Filter by status, staff, VIP, urgent, or skip-clean.
Front desk cannot fake a ready room. Housekeepers cannot skip inspection. Inspectors own quality.
Clean every 1, 2, or 3 days — or skip today if the guest said so. Tomorrow is already scheduled.
Same floor first, even minutes, urgent and early check-in rooms first. A heuristic you can preview. Not “AI.”
Seeded checklist. Approve and the room turns green. Reject and RoomFlow sends it back with a rework note.
Tickets sit on the card. Critical work keeps the room off the ready list until it is actually fixed.
How a hotel uses RoomFlow
01
Front desk checks a ready room in and sets stayover: daily, every 2 days, or every 3.
02
Checkout cleans, stayovers, towel runs, and guest requests land on the board automatically.
03
Housekeepers start, tick a checklist, attach a photo, or tap “guest does not want cleaning today.”
04
Pass, fail, or N/A. A fail requires a note and creates a rework task. Ready is earned.
05
Front desk sees green. Critical maintenance blocks ready. No more “I think it’s done.”
Training time is measured in minutes, not workshops. If staff can use a phone, they can use RoomFlow.
On the floor
Housekeepers see only their rooms. Start. Tick the list. Add a note or a photo. Done. Stayover work never pretends the guest has left.

One hotel. Six jobs.
Hotel setup, users, rooms, types, checklists, and multi-property control.
Board, assignment, inspection, maintenance, and reports for the shift.
Assigned tasks only. Start, checklist, skip-today, complete. Never “ready.”
Approve or reject. Rejection requires a note and creates rework.
Check-in and out, stayover cadence, guest requests, VIP and urgent flags.
Assigned tickets. Critical work keeps a room off the ready list.
Run one property or a small group. Admins create hotels and assign people. Staff only see the buildings they work in.
Why hotels say yes
The desk stops hunting. Housekeeping stops repeating themselves. Inspection is a tap, not a walk back to the office.
A room cannot become ready with a critical HVAC ticket. A failed inspection cannot vanish. Stayover skip is recorded.
Fairer assignment. Clear lists. Less shouting in the corridor. The job feels like a professional operation — because it is one.

Questions
No. RoomFlow is the operations layer between front desk, housekeeping, inspectors, and maintenance. It does not take reservations or guest payments. You keep the PMS you already have. Direct PMS sync is on the roadmap — it is not in the product today.
Independent hotels and small groups, typically 20–120 rooms. It is built for teams that still run the morning on paper, radios, and WhatsApp.
Never. You pay per sellable guest room. Unlimited staff logins. The first two rooms on your first hotel are free. Each extra property is a $10 one-time fee.
The room rate drops from $0.75 to $0.55 per room per month, billed once for twelve months. The two free rooms and the $10 extra-property fee stay the same.
Yes. Admins can create multiple properties. The first hotel has no setup fee. Each extra hotel is $10 once. Each person only sees the hotels you assign them to.
If they can use a phone, they can mark a room. Housekeepers see only their list. Front desk cannot mark a room ready. Inspectors own quality.
Yes. Request demo access on the site. We email logins for a working 60-room hotel plus a second inn, with roles for admin, manager, housekeeper, inspector, front desk, and maintenance.
Yes. Create a hotel and pay with Stripe. Card checkout is on the site; billing lives in the hotel dashboard after that. The first two rooms on your first hotel are free. Three rooms or more need a card.
Next step
Sit with your executive housekeeper for twenty minutes on the live demo. Then write to us with the property size. Leave with a yes, a no, or a pilot floor.
